What to Send for a Submersible Pump Quotation

Updated 29 October 2026 · Technical references included

Start with the job the pump must do

A useful submersible pump quotation needs more than an HP rating and a price. Send the supplier a clear description of your water source, required output, installation and order. Ask for the pump, motor and matched starter to be identified together.

This checklist helps an end user, dealer or project buyer prepare an enquiry. It does not select a model or replace a site assessment.

1. Describe the water source and installation

  • State whether the source is a borewell, open well or tank. Include the application: irrigation, building water supply or another stated use.
  • Give the measured internal bore diameter, total bore depth and proposed installation depth. Mark estimates clearly.
  • Include a recent water test or describe known sand, sediment and water-temperature conditions. Ask the supplier to confirm suitability.

KSB distinguishes borehole installations from other water-supply arrangements. Share the actual installation rather than assuming that every submersible pump suits every source.

2. Give the required flow and head

Write the required flow with its unit, such as litres per minute or cubic metres per hour. Include the pumping water level, delivery elevation, pipe route and required outlet pressure. The pumping water level is the level while the pump runs; it can differ from the resting level.

Ask the supplier to calculate the duty point and show it on the proposed model’s performance curve. Total bore depth alone does not specify the required duty. The sizing basis must account for lift, pipe losses and outlet pressure.

3. Identify the electrical supply and starter

Provide the available phase, voltage and frequency, and the approximate cable route from the supply/control location to the motor. Ask the supplier to state motor compatibility, the matched starter and included protections. Have a qualified installer confirm cable sizing, protection and earthing against the selected equipment’s current instructions.

4. Make the commercial scope explicit

For comparable quotations, ask each supplier to complete the same list:

Item What the quotation should state
Equipment Pump model, motor model/rating and starter model; quantity of each.
Performance Offered flow at the required head, curve reference and selection assumptions.
Included supply Whether cable, pipe, valves, fittings, freight and installation are included or excluded.
Commercial terms Price basis, taxes, payment terms, quote validity and confirmed delivery terms.
After-sales terms Written warranty, exclusions, service contact and claim process.

Dealers and bulk buyers should also state order quantity, model mix, delivery city and PIN code, and whether the enquiry is for a repeat order or an initial evaluation. Request evidence for any certification or test claim that matters to the purchase.

Before accepting the quote

Resolve any missing measurements and compare the same duty and supply scope. Keep the agreed model details and written terms with the purchase record. An HP-only comparison can leave the actual requirement unanswered.
